Privacy policy

This policy explains what personal data All Your Wellness collects, why we collect it, how we use it and the rights you have. It covers allyourwellness.com and any related services (together, "All Your Wellness").

1. Who we are

All Your Wellness is operated by The Fitness Industry Directory Limited, trading as iD and All Your Wellness ("we", "us", "our"). We are a company registered in England and Wales (company number 08745011). Our registered office is 10-14 Old Wallfields, Pegs Lane, Hertford, Hertfordshire, SG13 8EQ, United Kingdom.

We are the data controller for the personal data described in this policy. You can contact us about privacy at hello@allyourwellness.com.

2. What we collect

If you browse the site

• Usage data: pages viewed, videos played, votes, bookmarks, device and browser type, approximate location (from IP address) and referring site.
• Cookies and similar technologies: see section 8.

If you sign in

• With Google: your name, email address and profile picture, as shared by Google when you choose to sign in.
• With email: your email address. We email you a one-time 6-digit code, which works for 10 minutes and is stored only in a scrambled (hashed) form until it's used or expires.
• The comments, votes, favourites and bookmarks you make while signed in. Comments are published with your first name and surname initial (and your Google profile picture if you signed in with Google). We keep your email address with each comment so we can moderate it, but never publish it. We also record reports you make about other comments.

If you apply to be listed

• Your name or channel name, email address, account type (creator, qualified practitioner, educator, wellness venue or brand), the platform you use most, your follower count, your YouTube channel link and your Instagram username.
• Whether you've applied for a Founding 20 place.
• Notes from our checks, such as follower verification and professional status.
• Practitioners can add a profile photo when they apply. We crop it to a square on your device, store it in our Google Drive, and show it on your public profile only once it's approved. You can ask us to change or remove it at any time.

If you connect your Instagram account

If you choose to connect an Instagram Business or Creator account, Meta shares the following with us under the permissions you approve: your Instagram user ID, username, account type, profile picture, follower and media counts, and your posts, Reels and their captions, links, timestamps, and like and comment counts. We do not receive your Instagram password, private messages or data about your followers.

Public information about listed accounts

For accounts listed on All Your Wellness, we collect publicly available information from YouTube and Instagram: channel or account name, profile picture, follower counts, and public videos, Shorts, posts and Reels, with their titles, captions, thumbnails, view counts and publish dates. For Instagram, we use Meta's official Instagram Platform APIs. For YouTube, we use YouTube's public channel feeds and embedded player.

If you buy a brand package

Payments are handled by our payment provider. We receive confirmation of payment, your plan, billing name, billing country and VAT details where relevant. We never see or store your full card details.

After buying, brands can send us their logo, banners, product pictures and links on our brand setup page. We store these files in Google Drive and use them only for that brand's listing, banners and emails.

3. How we use it, and our lawful bases

We do not sell personal data. We do not use your data for automated decisions with legal or similarly significant effects. Paying never changes where content appears in the feed.

4. Instagram and Meta data

We use data received through Meta's Instagram Platform only to display listed accounts and their public content on All Your Wellness, to verify follower counts, and to provide reports to the account owner. We do not use Meta Platform data for advertising profiles, do not sell or license it, and do not combine it with other data to identify people other than the account owner. We follow the Meta Platform Terms and Developer Policies.

You can disconnect All Your Wellness at any time in Instagram under Settings, then Apps and websites, or by contacting us. When you disconnect, we stop collecting new data and delete stored Instagram data as described in section 10.

5. YouTube and Google

Videos are played through YouTube's embedded player in privacy-enhanced mode (youtube-nocookie.com). When you press play, YouTube may collect data under Google's Privacy Policy. Where we use YouTube API Services, you also agree to the YouTube Terms of Service. You can manage Google's access to your data at myaccount.google.com/permissions.

6. Who we share data with

• Service providers who host the site, store data, count visits and process payments, under contracts that require them to protect your data. Our contact records are stored in Google Workspace (Google Sheets and Apps Script).
• Klaviyo, which we use to send service and marketing emails. Klaviyo receives your name, email address, account type, listing details and your channel's monthly statistics, and records whether you've agreed to marketing emails. See Klaviyo's privacy notice.
• Meta and Google, when you connect an account or play embedded content, under their own privacy policies.
• OpenStreetMap, whose servers supply the map images on our wellness map. Your browser requests them directly, so OpenStreetMap sees your IP address, under the OpenStreetMap Foundation privacy policy. No cookies are set.
• Professional advisers, such as accountants and lawyers, and authorities where the law requires it.
• A buyer or successor, if the business or its assets are sold, with this policy continuing to apply.

7. International transfers

Some providers, including Google, Meta and our hosting and payment providers, may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum, or equivalent safeguards.

8. Cookies and analytics

We count visits with Plausible Analytics, a privacy-friendly service based in the EU. It doesn't use cookies, doesn't store anything on your device and doesn't collect personal data. It records the page visited, the referring site, your country, device type and browser, and events such as video plays and clicks to creators' channels. Your IP address is used only to estimate your country and is not stored. We publish the totals on our Audience page.

Booking clicks, views and searches on the wellness map. When you click "Book or enquire" or "Venue website", the link goes through our own server first, which counts one click for that venue and sends you straight on to the venue's page. A click is counted once per visitor, per venue, per day. To do that without cookies, our server makes a one-way code from your IP address, your browser type and the venue, mixed with a random value that changes every day and is deleted after 30 hours, so the code can't be traced back to you. Your IP address isn't stored. Link previews and automated traffic aren't counted. The same applies when you open a venue's pin or its entry in the list (a map view) and when you search the wellness map: for searches we keep only the town or postcode district matched, never what you typed, and we only count places that have venues on the map. Views and searches are kept for 400 days. Venues see only totals (for example, 12 booking clicks and 140 map views last month), never who clicked, viewed or searched. Our lawful basis is legitimate interests: showing venues how many visitors we send them.

Cookies are small files stored on your device. We only use non-essential cookies if you agree. You can change your choice at any time with the cookie settings button, which also appears at the bottom of every page.

If you reject embedded media, we'll ask before loading each video, and nothing loads from YouTube or Instagram until you choose to play. You can also block or delete cookies in your browser settings, but some features may then stop working.

9. How long we keep data

• Applications that aren't approved: 12 months, then deleted.
• Member and listing records: for as long as you're listed, plus 6 years for billing and tax records.
• Connected Instagram data: while connected. Deleted within 30 days of disconnection or a deletion request.
• Public feed content: refreshed regularly and removed from our systems within 30 days of a listing ending or the content being deleted at source.
• Comments and votes: until you delete them or your account. Comments we remove, and the reports about them, are kept for 12 months so we can deal with repeat problems and appeals, then deleted.
• Marketing consent records: for as long as you're subscribed, plus 2 years after you unsubscribe, so we can show when and how you agreed.
• Visitor statistics: kept as totals that don't identify anyone.

10. Your rights

Under UK data protection law you have the right to access your data, correct it, delete it, restrict or object to how we use it, receive it in a portable format, and withdraw consent at any time. To use any of these rights, email hello@allyourwellness.com. We'll respond within one month.

If you're unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

11. Data deletion instructions

You can ask us to delete your All Your Wellness data at any time, including any data received from Instagram or Google:

1. Email hello@allyourwellness.com with the subject "Data deletion request", from the email address linked to your account or listing. Include your Instagram username or YouTube channel if relevant.
2. We'll confirm receipt within 3 working days and may ask you to verify that the account is yours.
3. We'll delete your data within 30 days and confirm by email. We'll keep only what the law requires, such as billing records.

To stop Instagram sharing data with us, remove All Your Wellness in Instagram under Settings, then Apps and websites. To remove Google access, use your Google account permissions.

12. Children and young people

All Your Wellness is a general audience site, and some of the channels and videos we feature include junior players. We follow the ICO's Age Appropriate Design Code (the Children's Code).

• Under 13: you can watch, but you can't sign in, comment or apply yourself. A parent or guardian can apply for a junior's channel.
• Junior channels (under 18): we only list a junior's channel when a parent or guardian has agreed. We email the parent or guardian a link to confirm and keep a record of their answer (their name, relationship, the date and what they agreed to). We collect only what we need: the channel name and links, the junior's age range and the parent or guardian's contact details.
• High-privacy settings: we never show a junior's age, school, home or location, we don't message juniors, comments are off on junior channels' videos and there's no automatic welcome post on social media.
• No marketing to under-18s: under-18s applying themselves can't sign up to our marketing emails from the form, and we don't profile juniors for advertising.
• Under-18s in videos: creators who show other under-18s must have permission from their parents or guardians, and mustn't show a junior's full name, school, home or live location.
• Withdrawing: a parent or guardian can ask us to remove a junior's listing or delete their data at any time by emailing hello@allyourwellness.com. We act within 2 working days.

Safeguarding Lead: Nick Collins (hello@allyourwellness.com) is responsible for how we protect children and young people on the site.

If you think a child has given us personal data without a parent or guardian's agreement, contact us and we'll delete it.

13. Security

We use encryption in transit, access controls and reputable providers to protect your data. Access keys for Meta and Google services are stored securely on our servers and never in the browser.

14. Changes to this policy

We'll post any changes here and update the date at the top. If changes are significant, we'll tell listed members by email.

Terms of use

These terms apply to everyone who uses All Your Wellness. Sections 5 to 9 also apply to creators, practitioners, venues and brands who apply for or hold a listing ("members"). By using the site you agree to these terms. Please also read our privacy policy.

1. About us

All Your Wellness is operated by The Fitness Industry Directory Limited, trading as iD and All Your Wellness. We are registered in England and Wales (company number 08745011), with our registered office at 10-14 Old Wallfields, Pegs Lane, Hertford, Hertfordshire, SG13 8EQ. Contact: hello@allyourwellness.com.

2. What All Your Wellness is

All Your Wellness is a directory and feed of wellness content from listed creators, educators, practitioners, brands and media. Content is shown in the order it was published, with no ranking algorithm. Videos and posts stay on YouTube and Instagram and are shown through those platforms' official players and embeds. Their own terms apply when you use them: by watching YouTube videos on All Your Wellness you agree to be bound by the YouTube Terms of Service, and Instagram posts are covered by Instagram's Terms of Use.

3. Accounts and sign-in

You can browse without an account. To comment, you sign in with Google or with a one-time code sent to your email. You're responsible for activity on your account. You must be at least 13 to sign in, and 18 or over (or acting for a business) to apply for a listing or buy a plan.

4. Community rules

When you comment, vote or post, don't:

• post anything unlawful, abusive, hateful, harassing, discriminatory, sexually explicit or misleading;
• impersonate anyone or misrepresent your connection with a person, venue or brand;
• post spam, undisclosed advertising, or links to malware or scams;
• manipulate votes or follower counts, or use bots or automated tools to access or copy the site;
• infringe anyone's copyright, trade marks or privacy.

Comments on videos. You need to be signed in to comment. Your comment is shown publicly with your first name, the initial of your surname and, if you signed in with Google, your profile picture. Comments are plain text, up to 500 characters. Comments with links, email addresses, phone numbers or words we filter for spam wait for us to check them before they appear. You can delete your own comments at any time.

Reporting. Use the Report button under any comment, or email hello@allyourwellness.com with a link to the video and what the comment says. We aim to review reports within 2 working days. A comment reported by 3 members is hidden automatically until we've reviewed it. Comments by creators on their own videos follow the same rules.

What we do. We may hold, hide or remove content and suspend commenting or accounts that break these rules, and we report illegal content to the authorities where the law requires. If we remove your comment or stop you commenting and you think we've got it wrong, email hello@allyourwellness.com and we'll look again.

5. Listings

• Applying: you must give accurate information, including your follower count, and have authority to list the channel or account. We review every application by hand and may accept or decline at our discretion.
• Eligibility: listed content must be about wellness. Instagram accounts must be Business or Creator accounts. YouTube channels must be public.
• Verification: verified badges, such as Wellness Practitioner, Wellness Venue, Educator and brand badges, are given after we check your status. We may ask for evidence.
• Feed order: every listing appears in date order. No package or fee buys a higher position in the main feed.
• Removal: we may pause or remove a listing that breaks these terms, misstates follower counts, or posts content that is unlawful, harmful or not about wellness.

6. Your content

You keep all ownership of your content. By listing, you give us a non-exclusive, worldwide, royalty-free licence, for as long as you're listed, to display and link to your public videos, Shorts, posts and Reels through official embeds. The licence also covers using your name, channel name, profile picture, logo, thumbnails, titles and captions to identify and promote your listing on All Your Wellness and our related channels. You confirm you have the rights to the content you list. You can end this licence by ending your listing. We'll remove your content within 30 days.

If you connect Instagram, you authorise us to access your account data through Meta's official APIs, for the purposes in our privacy policy. You can disconnect at any time.

If you send us logos, banners, photos, product pictures or other material, for example on our brand setup page, you confirm that you own it or have permission to use it, and that our using it for your listing, banners and emails won't infringe anyone's copyright, trade marks or other rights.

7. Listings, brand packages and the Founding 20

• Free listings: listing is free for content creators, educators and qualified practitioners sharing videos, whatever their follower count. If we introduce optional paid extras for creators in future, they will be optional and your free listing will continue.
• Brand packages: brands pay for the package they choose, as shown on the Get listed page. Prices exclude VAT. We are not currently VAT-registered, so no VAT is charged yet. Once we register, VAT will be added at the standard rate and shown on your invoices. Monthly brand packages start with 1 month free (2 months for founding brands). Annual packages are 12 times the monthly price and start with 1 month free. Payment details are taken at sign-up and the first payment is taken when the free period ends, unless you cancel before then. Packages renew in advance until cancelled.
• Founding 20: the first 20 approved accounts of any kind get a Founding badge for as long as they're listed. Founding brands on a monthly package get it free for 2 months from sign-up, instead of the usual 1 month. We'll remind founding brands at least 30 days before their first payment, and other brands at least 7 days before, and you can cancel before then at no cost.
• Wellness Venue listings: a venue appears on our wellness map only with a paid Wellness Venue listing, except a small number of demonstration listings we add from public information, which are marked as unclaimed. A Wellness Venue listing costs £39 a month for its first 12 paid months, then £59 a month, billed monthly, per physical venue. Billing starts on the day we approve the listing and it goes live; we email you 60 and 30 days before the standard price starts. Each venue gets one set of introductory months: cancelling and rejoining does not start them again. Cancelling stops your listing at the end of the month you have paid for. Your from-price must be the lowest genuine price a customer can currently pay, with its basis (for example per session or per night); we may remove a Clear Pricing badge that is not accurate. Practitioners linked to your venue are paid placements on the practitioner pricing. Venues on a paid Wellness Venue listing get a monthly report by email on their views and clicks; venues shown from public information are not contacted. Prices exclude VAT.
• Practitioner profiles: sleep coaches, nutritionists, dietitians, massage and bodywork therapists, breathwork and meditation teachers, yoga, Pilates and movement teachers and health and wellness coaches can apply for a profile in our Practitioners directory and on our wellness map. Before a profile goes live we check the practitioner's identity and their main qualification certificate; for dietitians we check the HCPC register, and we check insurance where you give it to us. We repeat these checks every year and can pause a profile if a check lapses or fails. Our checks confirm only what is shown as checked. We do not assess or recommend anyone's training or treatment, and you should make your own choice. Bookings and payments are made directly with the professional, not through All Your Wellness, and any arrangement is between you and them. A professional listing costs £1 a month for the first 3 months, then £4.99 a month for the next 12 months, then £9.99 a month. Billing starts on the day your profile goes live and is monthly in advance. We take your card details when you apply, but nothing is charged unless your profile is approved. If we don't approve it, or you withdraw your application, we cancel the card hold and you pay nothing. We email you 14 days before your £1 months end, and 60 and 30 days before the move to £9.99. Each professional gets the £1 and £4.99 months once: cancelling and rejoining does not start them again. You can cancel at any time; your profile stays live until the end of the month you've paid for. Paying never buys a check or a better position in the directory. We may remove a profile that breaks these terms or our community rules, and refund the current month if we do. Prices exclude VAT.
• Buying without applying: brands can buy a package straight from the Get listed page. Nothing goes live until we have checked the brand. If we decide a brand isn't right for All Your Wellness, we cancel the package and refund it in full.
• Billing: brand packages are billed monthly or annually in advance through our payment provider, and renew automatically until cancelled.
• Cancelling: you can cancel at any time in your billing portal. Cancellation takes effect at the end of the current billing period, and you stay listed until then. Apart from your statutory rights, fees already paid are not refunded.
• Your right to cancel (consumers): if you buy as a consumer, you can cancel within 14 days of purchase. If you ask for your package to start during that period, we may deduct a proportionate amount for the days already provided.

8. Sponsored content and statistics

Featured spots, email sponsorship and category sponsorship bought by brands are always labelled as sponsored. They appear in separate, labelled places and do not change the date order of the main feed.

We publish overall audience numbers and send listed accounts statistics about plays and clicks for their channels. These figures come from our analytics provider and are a fair estimate, not a guarantee. We don't promise any particular reach, views, followers, sales or results.

9. Our brand and site

The All Your Wellness and iD names, logos and site design belong to us or our licensors. You may share links to the site. You may not copy, extract or reuse the site, its design or its feed data for your own service without our written permission.

10. Copyright and removal requests

We respect the rights of creators and rights owners. Videos and posts in the feed are shown through YouTube's and Instagram's official players and stay on those platforms. If you own a video, post, image, logo or name shown on All Your Wellness and want it removed or changed, or you think something here infringes your copyright or trade mark, email hello@allyourwellness.com with a link to the item and tell us what you own.

We'll take the item down or correct it within 2 working days while we look into it, and tell you what we've done. Channels shown from their public videos that haven't applied for a listing can ask to be removed at any time, and we'll remove them within 2 working days. Venues shown on our map from public information can ask us to correct or remove their pin in the same way. You can also stop your YouTube videos being embedded on any website by turning off "Allow embedding" in YouTube Studio.

11. Third-party platforms

YouTube, Instagram, Google and Meta are independent services. We don't control them and aren't responsible for their availability, content or changes to their rules. If a platform restricts access, some content or features may stop working.

12. Our liability

We provide All Your Wellness with reasonable care and skill, but we don't promise it will always be available or error-free. Content in the feed belongs to its creators, and their views are not ours. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law. Your statutory rights as a consumer are not affected.

For members acting as a business, our total liability in any 12-month period is limited to the fees you paid us in that period. We are not liable for loss of profit, revenue, followers or business opportunity.

13. Ending your use

You can stop using All Your Wellness or close your listing at any time. We may suspend or end access if you seriously or repeatedly break these terms. Where possible, we'll give notice and a chance to put things right first.

14. Changes to these terms

We may update these terms as the service develops. We'll post changes here and tell members of significant changes by email at least 30 days before they apply to paid plans.

15. Law and disputes

These terms are governed by the law of England and Wales. Disputes go to the courts of England and Wales. If you're a consumer living in Scotland or Northern Ireland, you can also bring proceedings in your local courts.

16. Juniors and safeguarding

• Junior channels: a channel run by or for someone under 18 can only be listed with the agreement of a parent or guardian, which we check by email before listing. Junior channels have comments off and no location shown.
• Under-18s in your videos: if other under-18s appear in your content, you must have a parent or guardian's permission for each of them, and mustn't show a junior's full name, school, home or live location. We'll remove content that breaks this.
• Practitioners who work with under-18s must hold a current Enhanced DBS check with a children's barred list check, have up-to-date safeguarding training and follow the safeguarding policy of your professional or registration body (for example CIMSPA, REPs or the CSP). We see the DBS certificate before listing anyone for junior coaching.
• Comments and sign-in are for people aged 13 or over. Never share personal details with a junior or ask to contact them away from the site. We remove anyone who does.

Designated Safeguarding Lead: Nick Collins. Contact hello@allyourwellness.com with "Safeguarding concern" in the subject. All safeguarding reports go to the Safeguarding Lead and are recorded.

Reporting a concern

If a child is in immediate danger, call 999. To report content or behaviour on All Your Wellness, email hello@allyourwellness.com with "Safeguarding concern" in the subject: we read these first and act on them within 24 hours, removing content straight away while we look into it. You can also contact the NSPCC helpline on 0808 800 5000, or report online sexual abuse or grooming to CEOP. Young people can talk to Childline on 0800 1111.
